Smartowl Hub

From scattered paperwork to an entire flight operation in one place.

Smartowl Aviation runs flights and marine missions for demanding clients, with teams in North America, South America and Europe. Each crew member's documentation (licenses, certificates, passports, visas, ratings and more), each aircraft's records and every trip plan were managed separately. Checking expiration dates before an operation was a manual task, and at a checkpoint there was no simple way to show that documentation.

We built Smartowl Hub, a web platform that grew in stages on a single modular foundation. Each stage was specified, validated with Smartowl and put into production without redesigning what came before: first crew credentials, then fleet and trips, then real-time flight information and, today, an Operational Awareness dashboard that adapts to each user's role.

Impact

Today Smartowl's management, crew, fleet and trips live on a single platform. Every trip brings together the aircraft, the crew, up-to-date documentation and flight conditions, and every change is logged. Access is by invitation for partners and authorized members, and the Hub keeps adding capabilities on the same foundation.

Key results

Digital and physical credentials

A credential with a security hologram and a unique QR code, developed together with Smartowl: when scanned, authorities and checkpoints see each person's valid documentation. Document panel with filters, automatic expiration alerts, a full audit trail, and role-based permissions.

Fleet and trips

Aircraft registry with technical data, operational status and associated documentation with expiration tracking. Trip creation with aircraft, dates, origin, destination and status, and crew assignment that automatically links each member's documentation.

Real-time flight information

ICAO/IATA airport search, aviation weather (METAR/TAF) and sunrise and sunset times at origin and destination, built into every trip and the dashboard as quick support for planning.

Operational Awareness (in development)

A role-based dashboard for Flight Crew and Operational Management: operational priorities, upcoming operations, document readiness, indicators and alerts, laying the groundwork for future operational intelligence capabilities.

Technical details

Modular web platform built in stages on a single database and permission model. Authentication with differentiated roles and explicit consent during onboarding. Credentials with a unique QR code that expose only each person's valid documentation. Integration with aeronautical information services (ICAO/IATA airports, METAR/TAF, sunrise and sunset), with outage handling so the platform stays operational. Automatic expiration alerts in-app and by email, and full traceability of every change.
